Robert Half Executive Assistant in Minneapolis, Minnesota

Description

Local Minneapolis Corporation is seeking an Executive Assistant to provide high-level administrative support to company executives by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.

Key Responsibilities include:

  • Performing office and administrative duties to assist executives.

  • Managing calendar, arranging travel, meetings, conference calls and social functions.

  • Preparing business correspondence, typically using Microsoft Office (Word, Excel, PowerPoint, Access, Outlook).

  • Reading and analyzing incoming memos, submissions, and reports to determine their significance and plan their distribution.

  • Providing a bridge for smooth communication between the executive's office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.

  • Processing expense reports in a timely manner with a high level of accuracy.

  • Using various software, including word processing, spreadsheets, and presentation software to prepare reports and documents.

    Requirements

Required Skills/Qualifications:

  • A bachelor’s degree or equivalent experience.

  • Three to five years of executive assistant experience.

  • Exceptional verbal and written communication skills.

  • Skilled in Microsoft Office programs, especially Outlook, Word, Excel and PowerPoint.

  • Able to work with minimal supervision and prioritize work to meet simultaneous deadlines.

  • Excellent interpersonal skills, with a capacity to build relationships within and outside the organization.

  • Able to exercise discretion and maintain confidentiality.

  • Familiarity with common business tools, technology, and software programs.

  • Ability to work efficiently in a fast-paced environment.

  • Strong problem solving and decision-making skills.
