Description

We are offering a contract to permanent employment opportunity for a Senior Administrative Assistant in our manufacturing firm located in NARBERTH, Pennsylvania. This role will be fully onsite and requires a high level of attention to detail, excellent written and verbal communication skills, and strong computer proficiency. As a Senior Administrative Assistant, you will be expected to handle a multiline phone system, review and format reports, manage invoicing, and maintain interactions with clients.

Responsibilities:

• Manage a multiline phone system, ensuring all calls are answered and directed appropriately

• Review and format various reports, ensuring all information is accurate.

• Handle invoicing tasks, which include creating, sending, and tracking customer invoices

• Maintain a high level of professionalism and a personable demeanor when dealing with clients

• Track schedules of approximately 15 engineers, ensuring all schedules are up to date and any conflicts are resolved

• Utilize Microsoft Office Suite to perform various administrative tasks

• Respond to customer inquiries in a timely manner

• Handle inbound calls, providing customers with information and assistance as needed

• Maintain and update customer credit records, ensuring all information is accurate and up to date.

Requirements

• Minimum of 1 year experience in a similar role within the manufacturing industry.

• Proficiency in Microsoft Office Suites including Word, Excel, PowerPoint, and Outlook.

• Experience in handling customer invoices and ensuring timely payments.

• Ability to efficiently answer inquiries and provide accurate information to stakeholders.

• Experience in answering inbound calls.

• Familiarity with operating a multi-line phone system, efficiently routing calls and messages.

• Strong organizational and administrative skills with attention to detail.

• Excellent communication and interpersonal skills.

• Ability to prioritize tasks and manage time efficiently.

• Proven ability to work in a team-oriented environment.

• High school diploma or equivalent; higher degree or certification in Business Administration or related field is a plus.
