Boehringer Ingelheim Medical Team Admin Assistant (Part time - 0.6 FTE) in Sydney, AU, Australia
The Position
Reporting to the Head of Medical Affairs Specialty Care, an exciting opportunity has arisen to come and join our high performing medical team!
Your role as the Medical Team Admin Assistant is to provide administrative support to the Medical Affairs Team.
Tasks & Responsibilities
Work closely and cross-functionally interacts with other relevant Regional Operating Unit (ROPU) partners to develop local strategies and activities which are aligned with and/or support the global ones.
Ensure accurate filing of correspondence and code of conduct files.
If required, coordinate the travel and booking of Medical Affairs staff to attend various courses and conferences.
Coordinate the travel and booking of international HCPs who are sponsored overseas or invited to speak in Australia & New Zealand
Provide procurement support including raising POs, processing invoices, tracking budget spend, writing contracts using standard templates, etc...
Submit HCP cross-border requests in X-CEVAS
Collation of TOV spend, including HCP, grants, and sponsorships.
Event management
Organization of internal meetings and conferences
Event Management for external meetings in Veeva
Answering telephone queries (when necessary)
Providing specific project administrative support as requested
if required, providing back up support to the Executive Assistant Medicine, other Medicine Teams.
Requirements
Minimum 2 years modern admin support experience.
Project management experience is desirable.
Proficient in Microsoft Office tools
Excellent written and verbal communication skills.
High energy, enthusiasm, and attention to detail
Able to manage competing demands across multiple sub-functions, while being able to find operating efficiencies.
