Summary:

Reporting to the Palmer Logistics Supervisor or Peninsula Logistics Manager, the Lead Logistics Specialist will work alongside subordinates to accomplish daily hands-on tasking requirements. This position is responsible for leading the station Logistics Department through managing daily tasking requirements and workflow. Works closely with ASC’s shipping agent in Chile to ensure south-bound cargo movement and requests for Chilean resupply materials. Completes data entry which ensures accurate, inventory management, receiving and cargo tracking records of ASC and NSF material. Assists with coordination of port call planning and participates in long-shore cargo handling duties involving 20’ containers and break-bulk cargo. Provides customer service to ASC departments and NSF-Science personnel. Successfully balances work with community and volunteer tasking. This position is accountable for the direct supervision of the work activities of others. Planning, monitoring and reviewing work of subordinates is required. This may include direct supervision of a shift or the coordination of multiple work groups. Makes recommendations concerning performance appraisal and professional development.

Position Responsibilities:

  • 30% Managing Process: Ensures all operations procedures are followed effectively, identifies and recommends needed changes to Logistics Department Management on the standardized processes for the functional area. Evaluates and analyzes current work methods and recommends ways to eliminate inefficiencies. Receives, stores and issues/returns materials in support of all department operations including forklift support as required. Research stock information to determine locations and stock levels using the ERP database. Maintains a safe workplace and ensures that safety is the highest priority in the workplace. Complies with all ASC Environmental, Safety and Health (ESH), Waste Management and Quality Assurance requirements, goals, policies and procedures.

  • 10% Coaching and Developing Associates: Guides associates in daily operations, and monitors to ensure a high degree of productivity, safety, service and quality. Responsible for the training, coaching and feedback of Logistics Specialist in ERP systems, customer service, inventory management, port call operations, and other Logistics functions as assigned by Logistics management. Uses discretion to provide coaching and counseling to associates regarding job performance, methods of performing job tasks. Resolves associate relations issues between staff and customers that arise. Investigates operational errors to determine the cause and recommends corrective action where needed.

  • 60% Drives Results: Responsible for tracking south-bound cargo by creating a preliminary and final priority cargo report for cargo to be loaded on the next vessel. Prepares, submits and reviews Chilean resupply requests. Creates port call plans in conjunction with vessel and station staff. Oversees the safety of personnel during port call operations as well as other work areas. Creates north-bound manifests, sample shipment advisories and reviews all documentation for accuracy. Maintains records of north-bound and south-bound shipping documentation. Completes weekly inventory audits, weekly Situational Reports and tracks metrics used in monthly and yearly reporting. Works with departments to conduct inventory projects in storage areas around station. Develop and process reports for the audit tasking. Manages all incoming and outgoing material shipments. Prepares temperature-sensitive sample shipping documentation. Oversees the packaging, crating, and documentation for all northbound cargo. Ensures all cargo is labeled, stored and packed properly This includes property of science, construction, operations, maintenance or other USAP agency cargo being transported from Palmer Station to CONUS, OCONUS and Punta Arenas. Interacts with ASC Departments, Grantees, and Subcontractors to ensure the timely arrival and receipt of material. Oversees quality assurance practices throughout the cargo movement and container loading and unloading process. Manages data entry in Maximo regarding shipping number creation, editing, receiving, and manifesting. Participates in long-shore cargo handling duties involving 20’ shipping containers, break-bulk and hazardous cargo weighing up to 20,000lbs. This includes handling taglines for both south-bound and north-bound cargo. Completes electronic purchase requisition receiving and data entry in the inventory database MAXIMO for materials received on station. Researches and provides WODS (wrong, overage, damaged or short) reports on any discrepancies for materials received.

  • Completes annual forklift and inventory management system training classes when deployed.

  • Will frequently climb vertical ladders and platforms to access cargo.

  • Other duties as assigned by Supply department management; outdoor work will be required in varying temperatures.

Required Education, Experience, Certificates and Licenses:

  • Associate degree required. An additional two years’ experience will be accepted in lieu of a degree.

  • A Minimum three+ years of combined experience working in any of the following fields: Inventory materials management, purchasing, warehousing, cargo, transportation, or supply chain logistics including the use of forklifts, hand trucks and other powered and non-powered lifting devices or a minimum of one season experience working in the Transportation and Logistics (T&L) department or related areas in Antarctica.

Preferred:

  • Familiarity and capability to identify commodities in a specific area: Medical/Dental; Construction/Residential Repair; Automotive/Heavy & Industrial Equipment; Science/Lab Support; Food/Beverage/Retail; Office/Hotel/Janitorial Supplies; Electrical/Plumbing/Utilities/Carpentry/Fire Safety; Information Technology/Communications supplies.

  • Working knowledge of materials movement, purchasing, inventory, shipping industry and hazardous materials.

  • IBM Maximo experience.

  • Experience with remote site logistics is highly desirable. Experience with polar logistics operations is preferred.

Physical and/or Other Requirements :

  • Willingness and ability to deploy to Antarctica for extended periods

  • Successful completion of Medical and Dental examinations required by the NSF for deployment to Antarctica

  • Successful completion of drug screening and background check required by employer

  • Successful completion of Federal Background Check required by the NSF

  • Must be willing and able to lift and move items, parts, assemblies, and equipment up to the safety regulation maximum as required by the position.

  • Must be willing and able to perform physical activities including heavy lifting, climbing in and out of equipment, crawling, and working outdoors in extreme cold as required by the position.

  • Must participate in community programs, such as “house-mouse” (chores), “daisy-picking” (cleaning-up around the station), recycling efforts & safety objectives.

  • Valid Driver’s License issued in the United States

  • Must be able to obtain and maintain facility credentials/authorization. Note: US Citizenship is required for facility credentials/authorization at this work location.
